We’re now looking for a Team/Executive Assistant & Office Manager - the glue that keeps everything running smoothly, from the office vibe to the small but mighty admin details, while also keeping our leadership team supported and one step ahead. The Role
At Fabric, the Team/Executive Assistant & Office Manager is part organiser, part fixer, part culture-builder. You’ll be the go-to for all things people, place, and process - making sure our office feels buzzing and functional, our team feels supported, our leadership team is on top of their game, and everything is ticking along without a hitch.
What You’ll Do
Office Management
Keep our London HQ running smoothly (supplies, snacks, tech, meeting rooms, post, couriers, keeping things organised etc.).
Liaise with building management, suppliers, and contractors.
Own health & safety, security passes, and office upkeep.
Create an environment that feels distinctly “Fabric” - welcoming, creative, energising.
Team Support
Support the leadership team with diaries, travel, expenses, and ad-hoc requests.
Help plan team events, offsites, and celebrations.
Run onboarding logistics for new starters (welcome packs, tech setup, day-one support).
Be the go-to problem solver for everyday team needs, from printing decks to wrangling couriers.
Executive Assistant
Provide proactive diary and inbox management for the leadership team, ensuring priorities are met and time is used effectively.
Be a trusted right hand for the leadership team by keeping their time clear, comms smooth, and priorities moving.
Help drive efficiency by anticipating needs and smoothing out day-to-day challenges.
Administration
Manage People admin: policy docs, birthdays, anniversary, special celebrations.
Support recruitment logistics (posting jobs, interview scheduling, candidate comms).
Keep our systems tidy - logins, subscriptions, licences, and filing.
Assist finance with supplier admin.
About You
Super organised, proactive, and reliable - you spot problems before they happen.
Friendly, approachable, and great with people at all levels.
A natural multi-tasker who thrives in a fast-paced, creative environment.
Comfortable with Google Suite, Slack, and quick to pick up new systems.
Bonus points if you’ve worked in a creative/agency/fast-growth environment before.
